Ophthalmic Consultants of Boston (OCB) is searching for a Director of Research, Education, and Innovation to join our team. This is a full time opportunity that reports directly to our COO. The positions offers  hybrid schedule with 2-3 days remote possible.

Summary of Responsibilities:

The Director of Research, Education & Innovation (DREI) will provide administrative support and supervision for all research, education, and innovation efforts by OCB providers. The DREI supports OCB providers in pursuit of these goals by providing infrastructure, training, and resources to initiate, conduct, and complete research and innovation projects. The DREI supports education of the next generation of ophthalmologists by overseeing the coordination of the OCB/Tufts Fellowships in the subspecialties of Cornea, Glaucoma and Retina. The DREI works to enhance OCB’s reputation as a leader in ophthalmic excellence and innovation. This person will be a key member of the OCB management team and serve as an internal and external leader for OCB.

Education and Experience:

The DREI will be experienced in clinical research management and possess exceptional leadership, interpersonal, and communication skills as well as a high degree of initiative, judgment, discretion, and decision making to achieve organizational objectives and goals. The DREI will be a creative, responsive problem-solver, with a strong focus and commitment to patient care and quality assurance.

· Bachelor’s degree required.

· Clinical research certification preferred.

· Minimum of five years of experience in clinical research management

· Knowledge of the ophthalmology Fellowships (3) and partnership with Tufts Medical Center

· Experience using Microsoft Office (Excel, Word, PowerPoint, One Note) as well as SharePoint, Teams, Zoom, and Epic.

· Experience with and knowledge of Lean Six Sigma.

· Has a track record of demonstrating the competency to build and lead an effective and cohesive team.

· Understands the ophthalmic subspecialty: diseases, symptoms, risks, and the why and how of treatment options.

Responsibilities:

· Enhances OCB’s reputation as an industry leader by encouraging, enabling, and promoting the leadership, research, and innovation of its providers and management team.

· Leads new Research, Innovation, and Education Department through inception and significant structural improvements compared to existing research structure.

· Provides leadership and expertise, sensitivity, and responsiveness to the needs of study investigators, fellows, patients, and staff members.

· Works closely with study investigators and innovative providers to solve problems, address confidential or sensitive issues, and ensure the success of their research and innovation endeavors from a financial, staffing, and patient satisfaction perspective.

· Orchestrates the three OCB Fellowship programs from an administrative perspective including recruiting/interviewing, orientating, providing support related to the on-call effort and questions, meeting regularly with the Fellows to ensure their experience is a positive one. Serves as the OCB liaison with TMC.

· Participates in strategic planning, the management team and meeting annual objectives for OCB.

· Establishes effective strategies to maximize satisfaction of research providers, patients, and staff.

· Works closely with OCB providers and leadership to maximize awareness of our innovative activities and leadership positions within the ophthalmic industry and among the public. Develops an external presence by improving website, social media, and digital awareness of OCB activities in research, education, and innovation.

· Works to increase efficiency and eliminate waste in daily workflows following the Lean Six Sigma model.

· Works with OCB Compliance and OCB Legal to ensure proper protocols are followed. Regularly educates and monitors providers and staff members regarding HIPAA, OSHA and OIG Fraud and Abuse regulations to maintain research integrity and compliance at OCB.

Practice Building, Profitability, & Compliance

· Assists in generation of research and innovation leads for OCB providers through relationships with outside parties.

· Serves as legal liaison for clinical trial agreements and innovation project contracts.

· Negotiates budgets w/ sponsors of research and innovation projects to maximize revenue potential.

· Oversees revenue cycle for research and innovation including invoicing, collection, and financial tracking.

· Responsible for maximizing profitability including careful monitoring and management of staffing and operating costs, minimizing costs wherever possible throughout the duration of the research study or innovation project.

· Oversees development and maintenance of research standard operating procedures (SOPs) in accordance with good clinical practice guidelines.

· Monitors compliance with established SOPs providing additional training as needed.

· Advises on and/or conducts start-up process for research studies and innovation projects including:

· Conducting feasibility assessments

· Submitting to IRB or other regulatory bodies for approval

· Identifying and assigning staffing resources

· Procuring necessary equipment and supplies

· Defining and communicating the project’s goals and objectives within and outside of OCB, as needed

· Works collaboratively with OCB management to ensure symbiotic collaboration with Clinical, Administrative, Compliance, Billing, and Finance Departments

· Actively cultivates positive relationships with referring providers to clinical trials by ensuring efficient scheduling of referred patients and prompt communication back to referring provider.

Fellowship Oversight

· Works with OCB Communications Team and TMC to publicize Cornea, Glaucoma, and Retina fellowships and recruit new fellows.

· Updates OCB Website to include Fellowship Program. Adds testimonials from past fellows, videos, links, and other content.

· Works with TMC to Maintain AUPO accreditation for all 3 fellowships.

· With TMC administrator, coordinates fellowship interview dates

· Assists MD Fellowship directors at OCB.

· Attends graduation ceremony and helps coordinate graduation dinner.

Personnel

· Serves as key point person at OCB for the OCB/Tufts Fellowship Program.

· Serves as key liaison within OCB for fellows from the coordination of interviews and orientation, ensuring proper training on Epic and other OCB systems, to answering fellows’ questions and assisting with the resolution of fellows’ issues throughout their fellowship.

· Responsible for creating an atmosphere of respect, cooperation, and equity amongst Research staff members and instilling a team concept.

· Directs and supervises assigned staff members, including performance evaluations, development of objectives and goals, workflow planning and scheduling.

· Interviews and hires staff members, makes recommendations on promotions, salary changes, discipline, terminations and similar actions.

· Participates in resolving staff complaints and other personnel problems.

· Actively listens to staff concerns about inefficiencies and daily roadblocks or frustrations and advocates for staff by assisting in the resolution.

· Identifies best practices and standardizes research policies, procedures, and workflows.

· Oversees the training of research staff to implement established policies, procedures, and workflows.

· Makes recommendations for development of reports to review staff performance metrics and adherence to established policies, procedures, and workflows.

· Conducts or oversees audits to ensure compliance with established policies, procedures, and workflows, and to identify additional training needs.
